Clerical/Administrative Job Class Study

Project Overview

  • Review all clerical, secretarial and administrative positions for correct classification placement and salary range assignment .

Primary Project Objectives

  • To assure consistency of position allocaiton, current class specifications including minimum qualifications, and proper salary alignment.
  • Currently, there are 71 positions allocated to 25 job classifications. It is anticipated that there will be a reduction in the number of overall job classifications.
  • To create more career ladders for this series.

Milestone 1 - Project Planning (12/3/07 - 12/11/07)

  • HR staff to review classificaitons to identify obvious problems: 12/3/07
  • Identify all affected classifications and positions (possible update at a later date).
  • Create spreadsheet with Posiiton Description update.
  • Send Project Plan to departments for review/comment: 12/3/07
  • Comments due back from departments: 12/11/07
  • Update Project Plan based on comments received .

Milestone 2 - Data Collection (12/17/07 - 1/11/08)

  • Project kick-off - HR meets with respective departments and impacted employees to explain project and request updated position descriptions: 12/19/07
  • Updated information due back from departments: 1/11/08

Milestone 3 - Data Review (1/11/08 - 2/11/08)

  • HR meets to develop strategy for reviewing/grouping information.
  • Positions reviewed for draft classification and allocation: 1/11/08
  • HR staff performs desk audits, as needed.
  • Class specifications are updated/created as received.

Milestone 4 - Review of Draft Product (2/11/08 - 3/7/08)

  • Revised class specifications with tentative position allocations sent to departments indicating initial assessment (without salary range assessment): 2/11/08 2/14/08
  • See the first draft of the following documents:
  • Comments due back from departments: 2/22/08 3/7/08
  • Desk audits performed to clarify information, as needed.
  • Update information based on comments, as received.

Milestone 5 - Salary Analysis & Final Project (2/11/08 - 3/31/08)

  • Begin gathering compensation information for all classifications: 2/11/08
  • Complete final memo for distribution: 3/17/08
  • Distribute final memo: 3/21/08
  • Request any necessary budget documents (P100) from departments: 3/21/08
  • Budget documents due back, through Controllers Div.: 3/27 - 3/28/08
  • Proposed effective dateof changes: 3/31/08
  • Update HR Information System (HR2000) and all PCN files: 3/31/08
  • Class specifications abolished as needed.

Project Assumptions

  • Departments are asked to contact their assigned HR representative* for initial explanation and requests for information
  • Discussion will take place about how best to organize and divide the project work.

Project Issues

  • Project may seem too large and cumbersome due to the large number of positions and classficiations involved in the study.
  • Compiling information from many departments may delay Milestone 2.
